Test Creation Process

The test creation process in YouTestMe follows a structured sequence designed to help administrators efficiently build, manage, and deliver assessments. It begins with organizing content in Question Pools, followed by creating and structuring Questions. Next, administrators configure Notifications and manage Users who will participate in the test. The Test is then created using the prepared questions, after which Testing Sessions are scheduled to determine when and how users will take the exam. Finally, Reports provide detailed insights into user performance and overall test results. This streamlined flow ensures accuracy, consistency, and a smooth testing experience from start to finish.

Create the Question Pools

To create a test in YouTestMe Get Certified, the first step is to set up your question pools. In the Question Pools module, you can create and manage pools (also known as question banks) that store and organize your questions. You may create pools and sub-pools and categorize questions by topic, difficulty, or any other relevant criteria. The module also allows you to edit questions and track all changes through the change log.

Example:
An institution wants to create a Customer Service pre-employment test that assesses candidates across three areas: soft skills, problem-solving, and language proficiency.
To generate a detailed report with results separated by area, the institution should create:

  • One pool for soft-skills questions
  • One pool for problem-solving questions
  • One pool for language questions
    • This pool may include sub-pools such as grammar, syntax, etc.

These pools will later be used to build the test and generate reports showing each candidate’s strengths and weaknesses in every area.

Create the Questions

Once your question pool structure is ready, you can start adding questions to each pool. Questions can be:

  • Created manually
  • Imported in bulk
  • Generated using AI (based on ChatGPT’s global knowledge base or by uploading your own documents)

Create the Test

With your pools and questions ready, you can now create the test. There are several methods, including but not limited to:

Manual Test Creation

You select the specific questions you want from each pool.

  • All candidates receive the same test version, unless you manually create multiple versions.
  • You can also assign specific versions to specific candidates for full control.

Creating a Test Using the Generator

You select:

  • The question pools to be used
  • The rules (by difficulty, by category, or both)
  • How many questions should be drawn from each pool

The system will then automatically create unique test versions for each candidate, in accordance with the rules.

Note: If you want to generate questions by category, you must first create categories and assign them to questions before creating the test.

Create the Testing Sessions

In YouTestMe, test creation and test scheduling are separate steps.
After the test is created, you must create testing sessions to define:

Testing sessions can be made available to:

  • a specific user group
  • users of a training course
  • all users
  • manually assigned candidates
  • or users who self-enroll

Example:
A company wants all employees to take a cybersecurity test, but only the customer support department to take a customer support skills test.

  • The cybersecurity test session can be made available to all users with self-enrollment enabled.
  • The customer support session should be assigned only to the Customer Support user group with self-enrollment enabled.

Note: If a test has a fee, the session must be set to self-enrollment. If candidates are manually assigned, they will not be required to pay.

Enable and Customize Notifications

YouTestMe provides in-app and email notifications that can be enabled, disabled, or customized.
Before making the test available, ensure that notifications informing candidates about session assignment and result availability (if applicable) are correctly configured.

Because notifications apply to all tests globally, if instructions differ per test or session, you should place instructions in the test or session settings and insert variables into the notification.

Example:
An institution organizes two test sessions:

  • One proctored session for candidates taking the exam from home
  • One non-proctored session for candidates taking the exam in a classroom

Instructions differ for each session. Therefore, instructions should be added to each session’s settings, and the notification should include the variable $sessioninstructions$, which will be automatically replaced based on the session assigned to each candidate.

To ensure candidates don’t miss their testing sessions, you can set up reminders for upcoming and expiring sessions. Here’s how:

Create Users and User Groups

YouTestMe supports several user creation methods:

Users can be organized into user groups for easier management. If a test session is assigned to user groups, the groups should be created before scheduling the sessions.

You may also manually assign specific candidates to a testing session if needed.

      There are multiple ways to initiate the test for users:

      1. Directly from Email Notification: Users can start the test by clicking on the provided link in their email notification.
      2. From Another System via LTI: Integration with another system enables users to access the test from that system.

      4. From the Testing Session Link: Users can start the test by accessing the specific testing session link provided.
