How to Import Question Translations

This article explains how to import question translations using an Excel template — both when creating new questions and when adding translations to questions that already exist in the system.

How to Import Questions with Translations

Accessing the Template

To download the import template, follow these steps:

  1. Navigate to Tests > Question Pools.

  2. Select the desired pool.

  3. Go to the Questions tab.

  4. Click on Import Questions > Without Images (.xlsx format).

  5. Select the Excel template to download it.

  6. Check the Instructions on how to fill in the template properly.

  7. Download the Sample file to view the required structure. You can also import it into the pool to test the format.

Editing the Excel Template

The template consists of five sheets:

Sheet 1: Questions

This sheet contains the questions.

Sheet 2: Answers

This sheet includes the answers corresponding to the questions in Sheet 1.

Sheet 3: Question Translations

Use this sheet to add translations for the questions listed in Sheet 1. Below is the explanation of each column:

  1. Common ID (Question ID): Must match the Question IDs from Sheet 1.

  2. Language Code: Enter the language code for the translation (refer to Sheet 5 for supported codes).

  3. Question Text: Provide the translated version of the question.

Note: You can add as many translations as needed or leave this sheet empty. However, if you translate a question, its corresponding answers should also be translated.

Sheet 4: Answer Translations

This sheet contains translations for the answers listed in Sheet 2. Each column is explained below:

  1. Common ID (Question ID): Must match the Question ID from Sheet 2.

  2. Answer Ordinal Number: Must match the Answer Ordinal Number from Sheet 2.

  3. Language Code: Must match the one used in the question translation.

  4. Answer Text: Provide the translated version of the answer.

Sheet 5: Legend

This sheet includes guidelines and supported values for specific fields such as language codes and question types.

Importing the Template

Once the template is filled out:

  1. Click Select File, choose your Excel file, and then click Upload.

To verify that the translations were successfully imported:

  1. Click the Edit button next to the desired question.

  2. Expand the Show More Settings toggle.

  3. Scroll to the Translations section and check the available translations.

Check Question Versioning

Once questions are imported into a pool, they can be exported, modified, and re-imported using the YOUTESTME import/export template. This is especially useful for making bulk edits to multiple questions efficiently.

To export questions from a pool:

  1. Navigate to the desired question pool.

  2. Navigate to the Questions tab.
  3. Click on the Excel option.

  4. Choose YOUTESTME import/export template as the format.

  5. Click the Export button to download the file.

After modifying the exported file (e.g., updating question text, translations, or answers), you can re-import it into the same pool. Once re-imported, the system will recognize the changes and allow you to compare different versions of each question. For more information, please refer to this article.

How to Import Translations for Already Existing Questions

Translations can be added at any time to questions from any pool. To do so, follow the steps below:

  1. Export the questions from the existing pool. Follow the steps from the previous section.
  2. Open the Excel file:

    • Add translations in Sheet 3: Question Translations and Sheet 4: Answer Translations, using the existing Common IDs and Answer Ordinal Numbers.

  3. Re-import the updated file:

    • Upload the Excel file back into the same question pool.

    • The system will recognize existing questions and add the translations without changing the question structure.

Exporting and Re-importing Across Pools

Additionally, the system also allows you to export questions from one pool and re-import them into another. This is useful for duplicating or reorganizing question sets across different pools. To do this properly, follow the guidelines below:

  1. Export the questions from the existing pool. Follow the steps from the previous section.

  2. Open the Excel file and make the following necessary adjustments:

    • Delete or clear the Pool ID in the template to prevent the system from assigning the questions back to the original pool.

    • Optionally, you can fill in the Pool ID of the new target pool if it is known. If left blank, the import interface will allow you to select the destination manually.

  3. Manage the Common ID (Question ID):

    • If you import the file into a different pool (not the original one), and the Common ID (Question ID) already exists elsewhere in the system, the system will assume you’re trying to move the question and will delete it from the original pool and add it to the new one.

    • To avoid this and treat the import as new questions, replace the Common IDs (Question ID) in the file with unique new values (e.g., 1, 2, 3, …). This ensures the system creates new question entries instead of updating or moving existing ones.
