How to Hide Results from Candidates before Manager Approval

This article explains how to prevent a candidate from seeing test results until the test manager approves them.

Personal Report Settings

During Test Creation

To create a test that requires the manager’s approval before results are displayed to candidates, follow the instructions:

  1. Click the “Tests” tab in the main menu and select “New test”.
  2. Enter the basic test information in the first step of the test creation process, then click the “Next” button.
  3. For the “Show report“, choose the “On manager’s approval” option.
  4. In the “Report Content” choose between Score Only and Score and Details.
  5. Configure other test settings, complete the Test Creation Wizard, and publish the test.

For an Existing Test

  1. Navigate to Manage Tests > Settings > Personal Report Settings

  2. Set Show Report to the value :On manager’s approval.

  3. Modify Report Content select  Score Only or Score and Details.

The Content of the Personal Report

The personal report can be customized to include a wide range of performance and candidate details. To configure these settings:

Navigate to Manage Tests > Settings > Personal Report Settings

Available Settings

Once you’ve selected the report content type, you can customize what additional details appear:

  • Display Score – Show the candidate’s overall score.

  • Show Passed/Failed Info – Indicate if the candidate passed or failed.

  • Display Sub-scores by Question Pool – Show breakdowns of performance by question pools.

  • Display Score for Each Question – Include the score earned on each individual question.

  • Export personal report as Excel file – Allow candidates to download the personal report as Excel file.
  • Export personal report as PDF file – Allow candidates to download the personal report as PDF file.
  • Enable Score Report Download to CandidatesThe score report represents an upgraded iteration of the personal report. Candidates can download their score report directly from their personal report.

  • Enable Knowledge Deficiency Report to DownloadCandidates will be able to download the knowledge deficiency report from the personal report. The report will display question pools with the incorrectly answered questions. For further guidance, please read this article:  How to Enable Knowledge Deficiency Report Download.

  • Display Notes the Candidate Took for Instructors Only – Notes taken during the test are visible only to instructors, not the candidates.

  • Display Percentage Required to Pass – Show the minimum percentage required to pass the test.

  • Display Candidate’s User Groups – Show the user groups the candidate belongs to.

  • Display Employee ID – Include the candidate’s employee ID under their name.

  • Show Full Timestamps – Display both date and time of actions; if disabled, only dates are shown.

  • Display Achieved Score on Summary Tab – Show the score (percentage and points) in the summary.

  • Show Rounded Scores – Display rounded scores to the nearest whole number. Note: passing is still calculated using the exact score.

  • Display Score Description – Show a message based on the result. This appears only when both the score and pass/fail info are hidden.

  • Chart – Add a performance chart to help candidates visualize their results and compare outcomes. Learn more about the performance and comparative analysis tool.

Manage Download Options for the Personal Report and Knowledge Deficiency Report

When candidates complete a test, they can be given access to downloadable reports that provide insights into their performance. These include:

  • The Personal Report – a comprehensive summary of the candidate’s results.

  • The Knowledge Deficiency Report – This report lists the question pools that contain questions the candidate answered incorrectly.

Enabling Reports Downloads

To allow candidates to download their reports after completing a test:

  1. Go to Manage Tests from the main menu.

  2. Navigate to the Settings tab and open Personal Report Settings.

  3. Enable School Report Download to Candidates – allows candidates to download the main personal report.

  4. Enable Knowledge Deficiency Report Download – allows candidates to download the knowledge deficiency report.

  5. Additionally, under this section, you can choose the export format:

  • Export Personal Report as Excel

  • Export Personal Report as PDF

Customizing the Reports

Customizing the Score Report

  1. Navigate to System > System and Customization > System Preferences.

  2. Click on School Report Setup.

Available customization options include:

  1. Passing Criteria
    Enter descriptive text outlining the conditions required to pass the test. This helps clarify performance expectations.
  2. Main Description
    Provide a general overview of the test’s purpose, content, and structure.
  3. Section Description
    Add explanations for each section of the test to give more context to the results and help interpret performance across different topics.
  4. Re-test policy
    provide any relevant details about retaking the test.
  5. Show pool information – Check this option if you want the report to contain information about the pools included in the test.
  6. Show sections diagram – Check this option if you want the report to contain information about the candidates’ achieved results for each section, the average results of the candidates who fell, and who passed.
  7. Show section groups diagram – Check this option if you want the report to contain a diagram for created section groups. 

Customizing the Knowledge Deficiency Report

  1. Go to System > System and Customization > System Preferences.

  2. Select Knowledge Deficiency Report Setup.

Available customization options include:

  1. Change Header Image – upload a custom logo or graphic

  2. Display Options –choose which candidate details to show:

    • Candidate Name

    • Username

    • Session Name

    • Available To

    • Available From
    • Test Result

  3. Header Text – title of the report

  4. Free Form Report Explanation – instructions or feedback for the candidate

  5. Free Form Text – customizable report content

  6. Free Form Explanation – details on syllabus objectives or specific deficiencies

  7. Download Demo – preview the report layout and content as a sample PDF

Approving test results

Once the test is finished, candidates will be notified that the report will be visible after the manager approves it.

Once the test of each candidate has been graded, the manager can approve the results by navigating to Manage Tests > Candidates Tab.

Then click on the “Release reports to candidates” button.

Note: Once you click “Show results” button, all users who completed the test will receive the notification that the report is ready.

The availability of the personal report

Configure the personal report’s Lifespan

The lifespan defines how long the personal report remains accessible to a candidate after the test is completed. Once this period expires, candidates can no longer view the detailed report and will only see a summary score.

During Test Creation

  1. Click the “Tests” tab in the main menu and select “New test”.
  2. Enter the basic test information in the first step of the test creation process, then click the “Next” button.
  3. Click Show Advanced Settings.
  4. Under Security and Data Control, enable Configure report lifespan.

  5. Enter the desired lifespan duration in hours, minutes, or seconds.

From the Test Settings

  1. Navigate to Manage Tests > Settings > Personal Report Settings
  2. Enable Configure report lifespan.

  3. Define the desired duration using hours, minutes, or seconds.

Configure the personal report’s access duration

Report access duration defines how long a candidate can view their personal report after completing the test. The timer starts at test completion, and if the duration expires before the candidate opens the report, they will not be able to access it at all.

During Test Creation

  1. Click the “Tests” tab in the main menu and select “New test”.
  2. Enter the basic test information in the first step of the test creation process, then click the “Next” button.
  3. Click Show Advanced Settings.
  4. Under Security and Data Control, enable Configure report access duration.

  5. Enter the desired duration in hours, minutes, or seconds.

From the Test Settings

  1. Navigate to Manage Tests > Settings > Personal Report Settings
  2. Enable Configure report access duration.

  3. Define the desired duration using hours, minutes, or seconds.
